2.1 Additional Charges

This Additional Charges page gives you an overview of all the details of all the additional charges you have in the system. The additional charges can be used in two types of ways. Firstly, as an extra service that you provide to the customers when doing a reservation process such as child seat. Secondly, as a way to override certain charges to the system.

Where can I find this page?

This page is located under the Fleet category in the settings, highlighted in dark blue in the picture below.

In this page, you can also create, save and delete filters, view more rows in one page and also view more details and sort them. You can also export your data into an excel file. To learn how to do so, follow these links:

 

How do I create a new additional charge?

Firstly, click on the blue “Add Additional Charge” button located on the top right of the screen, highlighted in orange in the picture below.

Once you have clicked the button, a new page will appear. There are 4 sections on this page which are Extra Overview, Default Settings, Advanced, and Website.

Extra Overview

This section lets you manage the overall settings of the additional charge that you will be adding to the system.

Default Settings

This section lets you manage the settings for when if you want to show this additional charge the during the reservation process.

Advanced

This section lets you manage the advanced settings such as the number of available quantity or if you would like to limit this selection to a vehicle class. Here is also where you can set the maximum amount that you will charge the customer either per an amount or per day.

Website

This section lets you manage the website settings such as what additional texts appear alongside with this additional charge during the reservation process.

 

After you have finished making changes, click on the blue “Save” button, highlighted in orange in the picture below, to save the additional charge.

 

How do I delete an additional charge?

Firstly, click on the additional charge that you would like to delete. Next, click on the red “Delete” button located on the top right of the page, highlighted in orange in the picture below.

 

How to Set Up Restriction Based on Days of Bookings

Here you can set up minimum and maximum days for the additional charge to be applicable. First, you will need to enable “Enable Restriction Based on Number of Days for Additional Charges” in Settings > Car Rental > scroll down > under Additional Charges section (as seen in the image below).

Click “Save” at the bottom of the screen for the changes to be applied.

After enabling the feature, navigate to Settings > Car Rental > Additional Charges > select the Additional Charge you wish to modify > scroll down to the Advanced section, and there you will see a new field where you can setup the minimum and the maximum number of days for the additional charge to be applied (as shown in the image below).

For example:

“Minimum Amount of Days for Charge to be Applicable” set to 7 – for bookings with 6 days below the additional charge is not applicable, therefore not shown on step 3.

“Maximum Amount of Days for Charge to be Applicable” set to 30 – for bookings with 31 days above the additional charge is not applicable, therefore not shown on step 3.

It is not necessary to fill up both fields for the feature to be activated, you can use just one of these fields.

Click “Save” at the bottom of the screen for the changes to be applied.

How to set up Maximum amount to charge

This feature will let you set the maximum amount to be charged for an additional charge for each reservation. You can set the capping amount and/or number of days, when it is reached the additional charge will stop charging.

When you are creating a new additional charge or editing an existing one, you have the option to configure this.

For example:

“Maximum Amount to Charge” set to $100- once the additional charge reaches the amount of $100 in the reservation, it will stop charging.

“Maximum Amount to Charge (Days)” set to 7 – after the 7th day of the rental period, the additional charge will stop charging from the 8th day on.

Click “Save” at the bottom of the screen for the changes to be applied.

How to make charges applicable per fleet locations

This is how you can assign additional charges based on location pickup. Once this is set up, the additional charge will only be available on the specific location(s) you have indicated.

First, select the additional charge you want to modify by navigating to Settings > under Car Rental > Additional Charges, there you will see a table of your existing additional charges, and you have the option to create a new one.

Once you have selected the additional charge, scroll down to see the Advanced section and look for “Show Only for Specific Fleet Locations”

On that field, you can select multiple locations where you want the additional charge to be available.

Click “Save” for the changes to be applied.
