This article is a step by step breakdown of limiting vehicle class upgrades in a reservation.
We set the limit according to a hierarchy in your vehicle classes.
First, you will need to create a field in your vehicle class form, where the hierarchy will be set. Navigate to Settings > Fleets > Forms. As shown in the image below.
Then, a new page will appear with the different forms related to the fleet. Click on the “Vehicle Class Form.”
In addition, we need to create a new section by clicking, dragging, and dropping to the middle of the screen.
Once we create the section it will look like the image below. The section can be renamed by clicking on the wrench icon located at the top right of the screen. A new box will pop up; create its name in the Label field.
Now we will need to add two columns to the section by following the same procedure as before. Once we add the two columns, it will look like the image below.
Finally, let’s add our text field. By dragging the option, we only need to create one field, one of the columns will be left empty, as shown in the image below. We recommend changing the label of the text field to “Class Hierarchy.”
Note: The changes in the form section are automatically saved.
Now, we need to navigate to Settings > Fleets > Fleets Settings > Advanced section. In this section, we will find a field called ” Field for vehicle class Hierarchy”. Make sure you select the recently created field, as shown in the image below.
In this step, we will assign a hierarchy to our vehicle classes. To do so, navigate to Settings > Fleets > Vehicle classes. Click on any class, and for each of them, we will find our recently created hierarchy field at the bottom of the page.
For instance: if we have 5 vehicle classes, each class will receive a number, where 1 is the lowest and 5 is the highest.
Now, the vehicle class hierarchy is assigned to our vehicle classes. We will need to establish the limitations per user role. To do so, navigate to Settings > Car Rental > Advanced Tab. As shown in the image below.
After that, we need to navigate to the bottom of the page, and we will find a new section called “Free Vehicle Class Upgrade Restrictions”. Depending on the restriction per user role, they should receive a limitation of upgrades, which can go from 1 up to X depending on the number of vehicle classes available. See the image below.
Example: The user role “Manager” can perform a 4 level increase. This means he can go from Compact, which is 1, up to 4, our luxury vehicle class.
Note: Remember the upgrades are based on a user role.
