2.6 Online Charges and Down-Payments

This article is a breakdown on how to set up online charges and down-payments for online reservations. To be able to charge your customers online, you will first need to integrate with a payment gateway. You can find out more about payment gateways through this article here. There are two ways to set up online charges. They are either by the company brand or a global setting.

How to set it up per company brand?

Firstly, navigate to Settings > Fleet > Company Brands shown highlighted in dark blue in the picture below and select the company brand that you want to set for.

Here, scroll to the financial specifications tab. You can put numbers under either “Percentage to charge in public bookings” if you want to charge a percentage of the booking OR “Fixed Amount to Charge Online” if you want to charge a fixed amount. It is shown in the picture below highlighted in orange.

Once you are done, click on the blue “Save” button to save the changes. You will use one of these two fields to make a customer pay a down payment for your reservation. For example, if you use the percentage field and set it to 50, that means you would charge the customer 50% of the booking rate as shown in the picture below highlighted in orange.

The same would be for the fixed charge. The system will automatically take the higher amount. You can hover over the “?” icon next to the fields to learn more. If you leave both the options blank, the system will charge the client the full amount.

How to set it up generally?

Navigate to Settings > Car Rental > Online Charges tab highlighted in orange in the picture below.

Here you can set your amount under “Percentage to Charge in Public Bookings” if you want to charge a percentage of the booking OR “Fixed Amount to Charge Online” if you want to charge a fixed amount. It is shown in the picture below highlighted in orange.
