2.6 Online Charges and Down-Payments

This article is a breakdown of how to set up online charges and down-payments for online reservations. To be able to charge your customers online, you will first need to integrate with a payment gateway. You can find out more about payment gateways through this article here. They are generally configured globally and an option per branch.

Online Charges Tab

To access the settings for online charges, navigate to Settings > under Car Rental > Online Charges

There are 3 sections on this page which are (1) Online Charges, (2) Branch Settings and (3) Advanced

Online Charges

Percentage to Charge in Public Bookings – This is to set the maximum percentage of the amount to be charged in public bookings. If this and ‘Fixed Amount to Charge in Public Bookings’ are filled the higher amount will be used.

Fixed Amount to Charge Online – This is to set the maximum amount to be charged in public bookings. If this and ‘Percentage to Charge in Public Bookings’ are filled the higher amount will be used.

Days in Advance to Charge the Security Deposit – You can charge the Security Deposit in advance, the number of days you input here will be counted before the Pickup date.

Disabled Currencies for Security Deposit Requests – You can disable multiple currencies to be authorized for Security Deposit.

Rounding of Charged Amount – This will be applicable if the percentage to charge in public bookings is set. The system will round the number to the next number that is a multiplier of the number set here. For example, if you have to pay 30% of $132, which is $39.6, you will be able to charge $40 if the value is set to 10 or 5 and $45 if the value is set to 15. Rounding will always adjust to the higher amount.

Enable Advanced Online Charges – This will disable or enable advanced payment for online charges. This can also be set up per branch.

Use Online Credit Card Security Deposits? –  This is to enable the use of a credit card for online security deposits.

Enable Automatic Charges on Security Deposits – This feature automatically charges the credit card for the security deposit.

Enable Option to Pay Full Amount Online – This enables the option for the customer to pay the full amount besides the option of a down-payment.

Full Amount Online Discount – You can select an automatic discount that will be applied if the full amount is paid online. Read more about Discounts.

Enable Save Credit Card Button – This will enable a button for the customer to choose if he wants to save his credit card.

Show Amount to Pay Online in Summary – This will display another line “Amount Required to Reserve”

Confirm Bookings without Payment – When enabled, even if the customer did not pay any amount the booking will be considered confirmed and it will be reflected as an Open reservation in the back-end.

Prevent Open Status when Creating an Internal Payment – This will prevent the booking to be changed to open when you add a payment internally.

Skip Payment Page for Website Reservations – This will prevent showing the payment step in the booking engine embedded into your webpage.

Filter Payment Gateways per Pickup Location – This will allow you to choose different payment gateway options depending on the location.

Branch Settings

You can configure online charges per branch with the following features:

Percentage to Charge in Public Bookings – This is to set the maximum percentage of the amount to be charged in public bookings. If this and ‘Fixed Amount to Charge in Public Bookings’ are filled the higher amount will be used.
Fixed Amount to Charge Online – This is to set the maximum amount to be charged in public bookings. If this and ‘Percentage to Charge in Public Bookings’ are filled the higher amount will be used.
Enable Online Credit Card Payments? – This is to enable or disable credit card payments per branch.
Confirm Bookings Without Payments – When enabled, even the customer did not pay any amount the booking will be considered confirmed and it will be reflected as an Open reservation in the back-end.
Supported Payment Gateways – You can select multiple payment gateways that a particular branch supports for online payments.
Supported Gateways for Authorizations – You can select multiple payment gateways that a particular branch supports for online authorizations.

Once you are done, click on the blue “Save” button to save the changes. You will use one of these two fields to make a customer pay a down payment for your reservation. For example, if you use the percentage field and set it to 50, that means you would charge the customer 50% of the booking rate as shown in the picture below highlighted in orange.

The same would apply for the fixed charge. The system will automatically take the higher amount. You can hover over the “?” icon next to the fields to learn more. If you leave both the options blank, then the system will charge the client the full amount.

Advanced

Authorize Amount to Charge Online – If yes, the system will run the payment as an authorization instead of a sale in the payment step. Note that the authorization will be just to validate the credit card and nothing will be charged to the customer.

 

Process Only One Credit Card on Automatic Charge Attempts – If yes, in the case of an automatic charge the system will only charge one of your customers credit cards saved.
