This Seasons page is where you can add the different seasons that your company uses. For example, peak season and non-peak season or summer and winter. Your rate structure is dependent on the seasons. This will determine which rate the system chooses for your rental. If your company does not use seasons such as summer rates, create one season that consists of a long period of time.
Where can I find this page?
This page is located under the Car Rental category in the settings, highlighted in dark blue in the picture below.
How to add a new season?
Firstly, click the blue “Add Season” button located on the top right of the page, highlighted in orange in the picture below.
You can add as many as seasons as you would like, however, do note that the seasons can’t overlap each other as it will cause an error with the system because the system would not know which rate to adhere to.
Once you click the button, a new page will appear. Fill in all the necessary details and click the blue “Save” button, highlighted in orange in the picture below, to save the season once you are done.
How to deactivate a season?
You have the option to deactivate a season at any given point, so that it will no longer be applied to reservations and you can manage simple rates that are consistent all year long. When you deactivate a season it doesn’t affect existing bookings.
To deactivate a season simply navigate to settings > seasons > select the season you wish to deactivate > set the ‘Active?’ setting to No
How to delete a season?
You can also choose to delete a season especially those whose dates are already over. To do so, firstly, click on the season that you would like to delete. Next, at the top right of the screen, click the red “Delete” button, highlighted in orange in the picture below to delete the season.
This will place this season that you create under the branch that is chosen.
This is the name of the season that you are creating.
This is the start date of the season that you want to create.
This is the end date of the season that you want to create.
Minimal Rental Period (Days)
This is the minimal rental period in days that the customer must follow before they can to go to the next step. It also possible to set this up per vehicle class, for more information go to this article.
Maximum Rental Period (Days)
This is the maximum rental period in days that the customer must follow before they can go to the next step. It also possible to set this up per vehicle class, for more information go to this article.
Minimum Rental Hours
This is the minimal rental period in hours that the customer must follow before they can go to the next step.
Maximum Rental Hours
This is the maximum rental period in hours that the customer must follow before they can go to the next step.
Automatically Apply Same Season Next Year?
If this is set to “Yes”, the system will automatically renew the season to replicate the dates in the system.
This will tie the season to the accounting account. Do note that you would need to have the accounting module set up for this to work.
