There are multiple ways to integrate your website with the reservation software backend. The easiest approach is an iframe, which creates a reservation box on your website that you can style with custom colors and fonts to match your branding. If you require more flexibility on the front-end of your website, it is also possible to integrate through our API. You can find more information about the different integration options here.
We are integrated with several payment gateways such as Stripe and Global Payments Integrated. You can link your accounts through Settings > Payment Gateways. If you require a different payment integration, please contact our support team and we will be happy to review your request.
The system integrates with the following accounting platforms: QuickBooks Online, QuickBooks Desktop, Xero, Exact, and Holded. Data can also be exported to Excel for use with other tools.
Yes. HQ gives you full control over your pricing. You can set rates by the minute, hour, day, week, or month, and configure them to decrease automatically for longer rentals. There are also more advanced pricing features, such as seasonal pricing, add-ons, discounts, security deposits, and rate types.
The software is available in over 30 languages, including English, Spanish, Dutch, Portuguese, French, German, Italian, and many more. Your account comes pre-configured in English, and additional languages can be activated from the Settings section.
Yes, the system automatically generates confirmation emails and you are able to customize the content and style of these emails within the Settings of the application.
Our hosting is based on your region. We have hosting options in the USA, the Netherlands (Europe) or Singapore (Asia). For security and backups please review our Security documentation.
We guarantee 99.9% uptime . At any moment you can review our uptime performance here.
The data is owned by the customer. In any case of termination, we will provide ALL DATA to the client in a readable format such as SQL or CSV. For more information about Data Privacy please review our Privacy policy.
Yes. You can cancel every month or every year, depending on the subscription you choose.
Yes. HQ Rental Software offers a mobile app available for iOS and Android. It allows your team to process the pickup and return, upload pickup/return images, record fuel and odometer readings, and capture the customer’s signature.

Yes. HQ offers a 7-day free trial so you can explore the platform with no credit card required. Your trial account comes pre-configured in English with sample data, and our onboarding team is available to help you set up your fleet, rates, and booking widget during the trial period.
Most small operators go live within a few days, while mid-sized businesses typically complete onboarding within 2–4 weeks. Larger Enterprise rollouts with multiple locations, custom integrations, or data migration generally take 4–8 weeks. Our onboarding team guides you through fleet setup, rate configuration, payment gateway integration, and booking widget deployment.
Yes. HQ supports data imports for fleet vehicles, customers, reservations, and historical contracts. Our team can help you map data from spreadsheets or other rental platforms into HQ. Contact our support team to discuss the best migration path for your business.
HQ connects to major distribution channels and aggregators, allowing you to publish availability and rates to multiple booking sites from one back-office. The integration is two-way, so reservations from external channels flow directly into HQ and your fleet calendar stays in sync. Yes. HQ generates rental contracts automatically using your branded templates, and customers can sign them digitally — either on a tablet at the counter, on their own device via a signing link, or through the HQ mobile app at pickup. Signed agreements are stored in the customer record alongside ID scans and damage photos, giving you a fully paperless workflow.
Yes. Our Self-service Car Rental module enables 24/7 contactless pickup and return through key safes, lockboxes, or connected vehicles. Combined with telematics and digital contracts, customers can book, sign, pay, and unlock the vehicle without staff present — ideal for airport locations, off-hour pickups, and lean operations.
Yes. HQ has a built-in Telematics module that integrates with leading hardware providers to capture real-time location, mileage, fuel level and driver behaviour. Telematics data flows directly into the reservation, so you can automate odometer readings, detect unauthorised use, and enable contactless rentals.
HQ includes a full reporting suite covering revenue, fleet utilisation, occupancy rate, average rental duration, customer acquisition channels, payment status, damage and maintenance costs, and staff performance. Reports can be filtered by branch, vehicle class, or time period, and exported to Excel or CSV. For deeper analysis, you can connect HQ to BI tools through our API or scheduled exports.
Yes. HQ supports rental periods from minutes up to multi-month contracts, with flexible billing cycles for long-term rentals, leases, and car subscription models. You can configure recurring invoicing, mid-contract vehicle swaps, and rolling agreements — making HQ suitable for both daily rental and subscription operators.
